Portfolios / Agencies

A portfolio is a minister's area of responsibility as a member of Cabinet. As a general rule, there is one department in each portfolio. Within each portfolio there are also numerous agencies.

Portfolio

Portfolios and their portfolio bodies and entities are initially uploaded into the Indigenous Procurement Policy Reporting Solution (IPPRS) from the Australian Government Organisations Register (AGOR). These names cannot be added manually and may be updated as Machinery of Government (MoG) changes take place. Please refer to AGOR for a full list of portfolios and their portfolio bodies and entities.

The IPPRS portfolios module stores Portfolio IPP Manager (PIM) contact details and assigns them to the agency awarded MMR contracts.

Portfolio records and the primary portfolio contact are uploaded initially into the IPPRS by the IPP Business Data Administrator (IBDA).

New PIM contacts must be set up as IPPRS users and assigned security roles, in order to perform their functions within the IPPRS. For further details on updating and assigning a primary contact to a portfolio, please refer to Administration.

Agencies

Agencies belong to a portfolio and are determined by AGOR. Contracts are initially assigned to their agency, as part of the AusTender load process, and the IPPRS allows Agency Contract Managers (ACM) to verify a contract’s MMR compliancy rating.

ACM contacts are added and entered into the IPPRS by the Agency IPP Manager (AIM). New ACM contacts must be set up as IPPRS users and assigned security roles in order to perform their functions within the IPPRS.

ACM contacts are generally added from the Activate MMR Contract stage of the process flow, to associate the ACM with the contract at the same time.

When a new ACM contact is created and saved, IPPRS generates an email and sends logon details to the new ACM and a copy is sent to the IBDA.
